Ceremony & Event Coordination

  • Ten hours of wedding day coverage by event planner
  • Initial consultation to review overall plan and vendor needs
  • Provide preferred vendor referrals based on budget, personality and style
  • Provide a personalized monthly check list and assist in maintaining progress
  • Unlimited consultation communications via email and phone
  • Review vendor contracts and obligations for any concerns (fee negotiations and payments to be coordinated directly between the client and vendors)
  • Final consultation one month prior to develop the itinerary and floor-plan
  • Provide Guidance and advice as an objective third party
  • Produce a personalized itinerary for rehearsal and wedding day
  • Attend a site walk-thru with key vendors
  • Act as liaison and confirm arrangements, updates and changes with vendors after the final consultation
  • Reconfirm final arrangements with vendors the day prior to the wedding
  • Coordinate the ceremony rehearsal (maximum of two hours)
  • Receive and distribute all personal items: wedding rings, marriage license, guest book, programs, favors, toasting glasses, cake knife & server, menus, escort/place cards etc.
  • Distribute the itinerary to wedding party and family (with client’s approval)
  • Oversee all details and logistics the day of the wedding to ensure your design & wishes materialize
  • Greet and direct the vendors on the wedding day
  • Distribution of personal flowers: bridal bouquets, assist in the pinning of the boutonnieres & corsages
  • Provide an emergency kit for those unexpected needs
  • Assist guests, family and wedding party with any questions and warmly guide them
  • Ensure that gifts are received and moved to a pre-arranged location at the conclusion of the event
  • Arrange the bridal party for the processional and cue the musicians
  • Manage the timing of the ceremony and reception
  • Work with and cue the MC/band leader to ensure the sequence of events happen in a timely manner: grand entrance, toasts, cake cutting, dances and departure
  • Liaison for wedding party, guests, family members and vendors
  • Wedding planner will provide a maximum of ten hours of wedding coordination on the wedding day (additional hours billed at an hourly rate)
  • Wedding planner’s assistant may be included, if needed (number of hours at the wedding planner’s discretion)
  • Distribute final payments and gratuities
